I recently discovered a new tool that I am excited about and want to share with you. As I have written about before, distractions are the enemy to staying focused and I am always looking for ways to make work more efficient and productive. Email management seems to be the greatest consumption of our time and can easily become a huge distraction if not handled correctly.
The new tool that I have recently implemented into my daily business is called Boomerang for Gmail. I use Gmail for my email provider for many reasons, however it seems that boomerang also has versions for other email providers. If you do not use Gmail, keep reading as I believe you may find a reason to switch after reading this post.
What does Boomerang do and why am I so excited about it? Well, I’m glad you asked!
This is a major factor for several reasons:
I am able to send emails at more opportune times. For example, I can send important emails and schedule them to be sent to the recipient at 9 a.m. the follow morning. This ensures that it will be one of the first emails that the recipient checks that day and thus will not be trumped by other emails before it. We all know how full our inbox can get and at times it is noon before we reach the end of the new messages.
Scheduling emails also allows me to do work in the evenings, weekends, etc. and delay my emails until after the weekend or holiday or the following morning. I believe that nothing stresses an employee out more than a stressful work related email on a Friday night. The employee now spends the rest of the weekend worrying about the email instead of truly relaxing. This results in stressed out employees and creates a bad work environment. The scheduling feature helps me prevent this scenario.
Now I can send myself delayed emails with reminders to accomplish specific tasks.
For example, if I have a managers meeting every Tuesday at noon, I can set a recurring email to send a reminder on Monday afternoon to remind all the managers of this meeting. Now instead of sending an email each week, I can send one email and then forget about it.
Have you ever sent an email to get something done or receive a response only to remember 2 months from then that you never heard back? Well, with Boomerang you can set a reminder to notify you if your message was never responded to.
For example, recently I received an invite that I must RSVP to no later than April 6th. Boomerang recognizes the dates and gives me the option to the have the email resent to my inbox at a set date to remind me in the future. In this example I had it resent on April 5th so I can make a decision to attend the function.
